Key Responsibilities:
- Responsible for ensuring that all processes and procedures relating to Security, cleaning and maintenance services are adhered to at all times in line with company directives, client needs and agreed SLA’s.
- Manage and develop a team of cleaning staff and support personnel to provide and deliver a planned and reactive maintenance cleaning programme on site, as set by the FM.
- Implement, execute and manage plans for emergency/disaster control for areas of responsibility
- Ensure all tasks are logged, allocated and completed within the defined timescales.
- Ensure compliance with all statutory requirements
- Ensure compliance with all health and safety requirements and safe working procedures.
- Establish and maintain a technical library of procedures, compliance certificates and all relevant documentation for the site cleaning responsibilities.
- Implement and execute a robust contractor management scheme for the delivery of services on site by third party contractors, including supporting the client in reviewing permits to work as set by AI.
- Ensure value money for the delivery of all self-performed and contracted out services on site.
- Maintain a close working relationship with the client on site.
- Identify and implement potential value added opportunities arising from the delivery of services
- Processes to be implemented, executed and maintained to ensure all assets (including all cleaning, maintenance and security equipment) are effectively maintained and monitored for wear and tear and any defects or repairs needed are reported through the processes set by the IFM Ops Manual and FM.
- Provide Contract Lead support in the absence of the appointed Facilities manager.
- Manage and provide financial administration support in relation to time sheets and salaries of staff.
- To manage, monitor and record all staff time sheets / overtime / holiday sickness and absence.
- To manage and control all consumable ordering of stock and to control distribution of the stock.
- Rota Management – To support management team in ensuring all shifts are covered adequately to complete the daily / weekly tasks and duties in line with client expectations. To review the rota’s regularly to ensure that they are still appropriate to cover the workload.
- To monitor and check all work both internally and externally to ensure that the work is being completed to pre-determined standards throughout.
- Supervise and monitor the Waste Removal function, liaising with Waste supplier/s.
- Monitor and report on all activities, providing relevant management information via either written reports or through the PDA.
- Ensure all equipment is maintained to manufacturer’s recommendations and full working order complying with Health and Safety regulations.
- Attend and conduct Team meetings; liaise with other departments and management to perform duties and aid overall business needs.
- Attend training and to develop relevant knowledge and skills.
- At all times to follow through any managerial instructions.
- To ensure all work is carried out in a safe, proper and thorough manner taking into account Health and safety legislation, Incentive FM policies and procedures, risk assessments and method statements.
- Maintain confidentiality in all aspects of client and staff information.
- To Lead and deliver daily RFT Huddles.
- To carry out daily site cleaning, H&S, and security audits as per templates set for site on IAuditor.
- Lead from the front, working with the teams on the shop floor to continuously support their development and adherence to SLA, and client expectations.
About You:
- Ability to articulate thoughts into clear and concise written and verbal communication.
- Outstanding leadership skills; inspiring interpersonal effectiveness to lead team, train talent and effect change; willing and able to be a “doer” and “influencer”.
- Competent industry knowledge.
- Excellent time management organisation and focus on ability to prioritise and multi task, with ability to focus on detail.
- Experience at supervisory or management level within facilities, customer service or retail environments.
- Relevant Security Industry or cleaning Industry experience.
- Relevant H&S Qualification (IOSH managing safely minimum working towards NEBOSH).
- IT literacy skills in MS Outlook, Word, Excel and PowerPoint.
- Demonstrated passion for the IFM brand.
- Experience in working and building partnerships with clients.
- Knowledge of COSHH.
- Articulate and has the ability to communicate effectively with the clients and the IFM teams.
- Organised individual who can demonstrate a record of planning and managing work flows.
- Able to demonstrate an understanding of high quality service delivery and their impact on this.
- The ability to be agile and flexible to meet the needs and demands of the role.
- Excellent time management organisation and focus on ability to prioritise and multi task with clear ability to focus on detail.
